Departmental Software and Changes to Tulane Public Directory (Active Directory)

 

As part of the ongoing rollout of our new HR system design, several key fields in the Tulane Public Directory (Active Directory) will be updated on March 20. This directory is the information you see in Outlook for example, but it is also used for security purposes. 
 

These updates will improve data accuracy and better align our internal systems with the new organizational structure. However, they may impact how some users access applications that rely on Single Sign-On (SSO).

What Is Changing?

To ensure our directory reflects the updated HR structure, the following user account attributes will be updated:

  • Department – Department names will be standardized to match the new organizational chart.
  • Description – Descriptions will be updated to better reflect team roles and project alignments.
  • Title – Job titles will be refined to ensure consistency across the institution.


Why This Matters

Some department-managed third-party applications use these directory attributes to determine:

  • User permissions
  • Group memberships
  • SSO authentication rules

 

If an application relies on Department or Title values to grant access, these updates may result in changes to access permissions or trigger a temporary login prompt while systems synchronize.

 

What You Need to Do

If you manage or administer an application within your department, please take the following steps:

  • Review application access rules
    Verify that your application’s authentication or authorization rules are not dependent on specific values in the Department or Title attributes.
  • Update configurations if needed
    Adjust application rules or mappings in the application as necessary to account for the updated directory values.
  • Validate application access
    After the WaveWorks HCM production go-live on March 20, confirm that users can still access these work applications as expected
