WaveWorks! First Cutover Announcement

As we prepare for the launch of WaveWorks! in Spring 2026, we are initiating required cutover activities to ensure a smooth transition to our new system for finance, HR, and budget & planning. 

“Cutover” refers to the process of finalizing preparation our existing systems to move our data into the new Oracle Cloud platform. 

For this cutover transition to succeed, at various times in the coming months prior to launching our new system, we will need to:

  • lock down ("freeze") the structure of our data (such as our organizations and accounts in our current system).
  • ensure that our data is as up to date as possible (for example to have completely processed procurement orders, recruitment of new staff, labor distributions, expense submissions, and similar by certain dates).

When we enter various cutover periods, certain systems and work processes will be “locked down” and no longer available until after we go live with Oracle Cloud.

In Spring 2026, we will post the complete Cutover Plan, covering all key areas.

 

First Deadline: December 19 Freeze Announcement

December Cutoffs

  • Suspension of Creation of New Organizations, Organization Changes to GL Accounts, New Natural Accounts, and Department Use Codes
    • Any requests MUST be RECEIVED by the Accounting Office by FRIDAY, DECEMBER 19, 2025. After this date, all new requests will be held until after Oracle Cloud goes live. All requests must have the necessary APPROVALS prior to being submitted to the Accounting Office.

Why Is This Required?

  • Allow the WaveWorks! Chart of Accounts team time to complete the data conversion work needed to load the chart of accounts data into the final “production” environment.
  • Ensure data accuracy at go-live. 

What's Not Frozen?

  • New GL and Grant accounts will continue to be created as needed and will not be affected by this freeze.

Budget & Planning

  • Any accounts needed for budgeting should be requested as soon as possible.
  • Any org-account- natural account combos required for budgeting need to have activities (either actuals or budget adjustments) in order to have them available in Anaplan.

 

We understand this may impact operations and appreciate your cooperation and support during this transition.
