Time and Absence 

  • When is a timecard created?
    • A timecard is created when an employee clocks in at the beginning of a pay period.
  • What is the role of a line manager for time and absence?
    • A line manager is anyone who has a direct report. Line managers are responsible for approving their employees absences and timecards.
  • What is the role of a Time & Labor Department Administrator (TLDA)?
    • TLDA is the new term for Timekeepers. They are individuals who can edit and approve timecards on behalf of their department.
  • What is the difference between a TLDA and a Line Manager?
    • A Line Manager will be able to perform tasks on direct reports for absences, time, learn, compensation, entering ICP (one time payments), creating job requisitions and managing the hiring process.
    • A TLDA will focus on timecards and absences in special circumstances. Holiday time will be entered automatically by Payroll department.
  • Where do employees go to submit their timesheets?
    • Employees can view, edit, and submit their timesheet for approval in the Time and Absences application in the "Me" tab in WaveWorks.
  • Do I have to enter holiday time?
    • Holiday time will be entered automatically by Payroll department.
  • What is best practice for editing an employee's timesheet?
  • Are employees required to use facial authentication at the tablet stations?
    • Facial authentication is optional. Please follow your department's policy for clocking in and clocking out. 

Recruitment

  • Are there guides and tips for recruiting faculty, staff and student workers?
  • Some users have reported that they cannot see all employees within their assigned access level under My Client Groups when logging into Cloud for the first time.
    • If this happens: Log out, wait approximately one hour, and then log back in. If the issue persists, please submit a ServiceNow help ticket for assistance.
  • How do I find my recruiter?
  • I need to create a recruitment requisition: how do I find the position in WaveWorks to create the requisition?
  • Are managers the only ones allowed to execute job requisitions?
    • No, department administrators with the proper delegations and permissions can support their departments in executing these requisitions. Please see recruitment training resources for more information
  • What if you make an error on the job requisition and mistakenly submit it?
    • Hiring managers will be able to edits the job requisition even after submitting.
  • How is faculty hiring different in WaveWorks compared to before?
  • Will post docs recruitment follow the hiring process of faculty or staff?
    • Yes, post-doc hiring follows the same process as the faculty hiring

  • How do I access WaveWorks? What are the first steps I should take the first time I log in?
  • Do I need to resubmit my personal data in WaveWorks? (Phone #, Address, etc.)
